Vault Marketplaces

One Inventory. Multiple Revenue Channels.

Prepare inventory once, select the channels that fit it, and retain control over approvals, availability, pricing and fulfilment.

Seller Central connects the permanent physical item record with category-specific rental and sales destinations so marketplace activity remains linked to custody, stock and operational responsibility.

Follow One Inventory Record from Channel Selection to Order and Earnings

Start with the connected-marketplace infographic, then move through access, catalogue readiness, destination drafts, review, publishing, fulfilment and seller earnings.

Slide 1 of 10

Complete connected-marketplace journey

02
Marketplace and channel access The client account shows which Vault marketplaces, client-owned channels and categories are approved for commercial use.
Step 1 · Approve access

Enable Only the Destinations the Client Has Approved

Marketplace access should be configured at account level before individual inventory is prepared for publication.

  • Approved marketplaces and client channels
  • Commercial intent: rent, sell or both
  • Eligible categories
  • Account-level operating permissions
What this screen demonstrates Account-level access prevents items from being prepared for destinations the client has not authorised.
03
Catalogue and commercial readiness The item must have the identity, images, category, attributes, condition and commercial data required by the chosen destination.
Step 2 · Prepare inventory

Make the Item Ready Before Creating a Destination Draft

A publishing workflow should identify missing data before a remote draft is created.

  • Permanent identity and commercial SKU
  • Approved images and gallery order
  • Category, attributes and description
  • Availability and fulfilment owner
What this screen demonstrates Readiness validation reduces incomplete drafts and channel-specific errors later in the workflow.
04
Destination selection Eligible destinations are selected according to the client account, item category, commercial intent and marketplace suitability.
Step 3 · Select destinations

Choose Where the Item Should Be Prepared

One item may be eligible for one or several approved rental, sales or client-owned commerce destinations.

  • Available marketplace destinations
  • Rental or sales pathway
  • Category and brand suitability
  • Destination-specific preparation status
What this screen demonstrates Destination selection does not publish the item; it defines which controlled preparation workflows should begin.
05
Rebuild, dry run and readiness The preparation workflow checks mappings, required fields, remote state and intended changes before creating or updating a destination draft.
Step 4 · Validate

Check the Payload Before Writing to the Destination

A dry run should explain what will be created, updated, adopted or blocked.

  • Field and category mappings
  • Image and catalogue payload
  • Existing remote SKU check
  • Warnings, blocks and intended changes
What this screen demonstrates Preflight validation makes destination changes understandable before any remote record is altered.
06
Create or update destination draft Seller Central creates or updates a destination draft while keeping the item unpublished until the review and approval stages are complete.
Step 5 · Create the draft

Prepare the Remote Record Without Publishing It Live

Draft creation is operational preparation, not final commercial publication.

  • Create a new destination draft
  • Update a recognised managed draft
  • Preserve destination-owned pricing rules
  • Retain a review lock before publishing
What this screen demonstrates Separating draft creation from publication protects the client from accidental live listings.
07
Remote SKU review and controlled adoption An existing remote SKU is reviewed before Seller Central adopts or updates it as a managed draft.
Step 6 · Resolve conflicts

Do Not Overwrite an Existing Remote Item Blindly

Seller Central should distinguish between a recognised managed draft, an unmanaged remote record and a genuine conflict.

  • Remote SKU and destination status
  • Existing images and catalogue data
  • Adopt, update, leave unchanged or hold
  • Reviewer and decision history
What this screen demonstrates Controlled adoption protects existing destination records and prevents duplicate or destructive updates.
08
Review, approval and publishing The client or authorised reviewer checks the destination draft before the final publish action is made available.
Step 7 · Approve and publish

Keep Commercial Approval Separate from Technical Preparation

The publish action should become available only after the draft content and destination state have been reviewed.

  • Prepared draft preview
  • Price and channel-specific settings
  • Approval or correction request
  • Final publish status and timestamp
What this screen demonstrates The client retains the appropriate commercial authority even when Vault prepares the destination draft.
09
Published status and fulfilment ownership The live channel status, item availability and recorded fulfilment owner remain visible after publication.
Step 8 · Operate the listing

Connect the Live Listing Back to Physical Inventory

Publishing is not the end of the workflow. Orders must route to the correct fulfilment owner and current item location.

  • Published, draft, held or error status
  • Current availability and location
  • Client-managed, Vault-managed or hybrid fulfilment
  • Order, dispatch and return pathway
What this screen demonstrates The destination listing remains connected to the custody record instead of becoming an isolated online product.
10
Marketplace earnings and payout The transaction record separates gross value, approved deductions, net seller earnings and payout status.
Step 9 · Record earnings

Show the Seller What the Transaction Earned

The seller should be able to follow the commercial result from transaction through reconciliation and payout.

  • Rental or sales transaction value
  • Approved charges and adjustments
  • Net seller earnings
  • Pending, approved and paid status
What this screen demonstrates Marketplace participation does not guarantee income, but every completed transaction should remain transparent and traceable.

Swipe through publishing safeguards
Destination pricing remains destination-owned

Seller Central may carry reference and reporting information, but the final active price and destination-specific rental setup remain controlled by the destination workflow.

Existing products require review before adoption

A matching remote SKU should not be silently overwritten. Existing products require association, review and an approved update path.

Client controls

Retain the Decisions That Define the Commercial Programme

Marketplace access does not transfer uncontrolled authority over the client’s inventory, pricing, channel eligibility, availability or publication.

Vault Marketplaces FAQs

Common Questions Before Selecting Channels

The final marketplace and operating configuration is confirmed after inventory assessment, catalogue review and commercial approval.

Must inventory be stored with Vault?

No. Inventory may be fulfilled from a Vault warehouse, client-managed warehouse or hybrid network, subject to the approved channel and operating requirements.

Can one item appear on more than one marketplace?

Yes, where the category and channel rules permit it. One permanent custody identity can map to multiple approved destination records while availability conflicts are controlled operationally.

Does Seller Central automatically publish products?

No. Seller Central prepares and validates destination drafts. Final publication follows the approved review and destination workflow.

Who controls the final selling or rental price?

The client retains commercial approval. The final active price and destination-specific rental configuration remain controlled through the destination workflow.

Can we use Vault Marketplaces without Managed Services?

Potentially, yes. The client may prepare, store and fulfil inventory through its own team where all catalogue, availability, channel and operational requirements are met.

Can Vault prepare and fulfil the inventory?

Yes. Vault Managed Services can cover storage, intake, cataloguing, commercial preparation, picking, packing, dispatch, returns and care according to the approved scope.

What happens when a rental item returns damaged?

The return is reconciled against the expected item and condition. It may be moved to exception, hold, care, laundry, repair or repacking before becoming available again.

Can Vault Commerce OS and Vault Marketplaces work together?

Yes. A client-owned website powered by Vault Commerce OS can operate alongside approved Vault Marketplace destinations, with separate channel and fulfilment settings.
